The Reynolds Team at Compass is a dynamic and fun real estate team committed to exceeding client expectations. We are seeking a highly motivated, in-office Transaction Coordinator to join our team. The ideal candidate is proactive, extremely detailed, has excellent communication skills, and is great at expectation setting.
Reporting to the Operations Manager, the Transaction Coordinator plays a crucial role in managing the day-to-day administrative tasks related to real estate transactions. You will work closely with our Virtual Transaction Assistant, agents, clients, title companies, lenders, and other vendors to ensure that all aspects of the transaction run smoothly from contract to closing, and beyond.

Responsibilities:
Transaction Management:
• Oversee the entire transaction process from contract to close, ensuring all deadlines and contingencies are met.
Document Preparation and Review: • Prepare and/or review transaction documents, including contracts, disclosures, addenda, and closing statements, ensuring accuracy and compliance.
Client Communication: • Serve as the main point of contact for agents and their clients, answering questions, providing updates, and managing expectations throughout the transaction process.
Coordinating with Third Parties: • Communicate with lenders, title companies, inspectors, appraisers, and other vendors to schedule appointments and ensure all requirements are met for a smooth closing.
Deadline Management: • Track and manage transaction timelines, including contingencies, inspection periods, and closing dates, to ensure that everything stays on track.
File Management: • Maintain organized and up-to-date files for all transactions, ensuring compliance.
Problem-Solving: • Proactively identify potential issues and work with the team to resolve them before they impact the transaction process.
Post-Closing Follow-Up: Qualifications:
• Previous experience as a real estate transaction coordinator or in a related administrative role within the real estate industry is preferred, but not required.
• Strong knowledge of real estate contracts, documents, and transaction processes is a plus.
• Excellent communication skills, both written and verbal, with the ability to manage relationships with clients and other real estate professionals.
• Highly organized with the ability to multitask and prioritize tasks in a fast-paced environment.
• Detail-oriented with strong problem-solving skills and the ability to remain calm under pressure.
• Ability to work independently, as well as part of a collaborative team.
• Knowledge of Google Suite and familiarity with real estate software is a plus (e.g., appFiles,Open to Close, Follow Up Boss).
