Job Description
The hours for this position are Mon - Fri 8am - 5pm with 3 days onsite & 2 days remoteJOB SPECIFIC COMPETENCIESAdministrative: Coordinate, monitor and process faculty appointments including but not limited to, arranging travel, meetings with multiple faculty members, and all faculty appointment related activities.
Coordinate, monitor, and assist with assigned departmental projects as required.
Kronos timekeeper: Process leaves both accurately and timely to ensure that document(s) are processed/approved prior to date of leave and that information is entered correctly in the timekeeping system.
Provide back-up assistance to Executive Assistant and/or administrative support coverage
as assigned to ensure activities, phone coverage and assignments are maintained.
Provide high level administrative support for departmental administration and/or departmental faculty.
Coordinate complex aspects and ensures timely submission of required documentation for assigned tasks.
Perform some or all of the function(s) of an Administrative Assistant.
Perform administrative functions, which may include oversight/team lead duties and/or training administrative support staff.
Prioritize jobs and independently seek out resources necessary to complete assigned tasks.
Research: Create and maintain CV's, Other Support Page and NIH biosketch in appropriate institutional format using institutional software and other software as needed. Edit and proofread document for errors and consistency. Responsible for updating information, on a monthly basis, by the last day of each month.
Create, submit, and track patient material using appropriate institutional, divisional, and/or departmental system/procedures (ie, file room requests, slides imaging, special slide staining, material to be filed, CORe requests, etc.).
Assist with research related activities and projects; including but not limited to assisting in the preparation/submission of grants, protocols, etc. Performing advanced administrative duties related to research faculty, post-graduate fellows and research assistants. Assist with scheduling, reimbursements and other research related activities, as needed.
Financial Monitor: track, reconcile, and attest financial funding sources.
Create, review, verify, track and process expense report(s), purchase order(s), catering requests etc. submitted by administration, faculty and/or fellows.
Other duties as assigned
High school diploma or equivalent. Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience. Must pass pre-employment skills test as required and administered by Human Resources.
