Job Description

MultiTracks.com is seeking a passionate Event Coordinator / Team Assistant to join our company this fall! Do you love planning large-scale events, thrive on helping others, and excel in handling a wide range of administrative tasks? If so, you may be the ideal team player that we are seeking! The Event Coordinator / Team Assistant will play a pivotal role in ensuring our operations run smoothly by providing exceptional support across various functions. You will use your event planning expertise to coordinate corporate events, team-building activities, and other gatherings both large and small. Additionally, you'll help manage day-to-day tasks from travel planning to running errands, always with a focus of making life easier for our amazing team. This role is in Cedar Park, Texas and can be fully in-office or open to the possibility of a hybrid schedule, post-onboarding.

What Youll Do:   

  • Plan and execute large-scale corporate events, conferences, team retreats, and other company gatherings  

  • Manage event logistics, including vendor relationships, budgeting, venue selection, catering, and on-site coordination  

  • Coordinate virtual or hybrid events with attention to detail, ensuring smooth execution 

  • When schedule allows, provide support in various departments as needed, ensuring a collaborative and seamless working environment 

  • Work alongside a team of in-office and remote administrative professionals, communicating, collaborating, and cross-training to support each other as needed 

  • Assist with organizing office supplies, handling correspondence, and preparing reports or presentations as needed  

  • Manage office events calendar and communicate the schedule to office folks  

  • Act as the go-to person for miscellaneous admin requests 

  • Serve as a reliable, approachable, resource for team members, always willing to help and improve their day-to-day operations  

  • Demonstrate tact, diplomacy and discretion in all interactions     

 

Requirements:   

  • Minimum of 5 combined years of experience as an Administrative Assistant, Executive Assistant, Event Coordinator, Project Manager or similar roles  

  • Proven experience planning and executing large-scale events or corporate functions is a must  

  • Excellent time management and organizational skills with the ability to manage multiple priorities simultaneously  

  • A meticulous eye for detail  

  • Strong written and verbal communication skills, with the ability to liaise professionally with vendors, guests, and team members  

  • Proficiency in Microsoft Office and event management tools or platforms   

  • Flexibility to be on-call outside of regular business hours as-needed (minimal)   

  • Willingness and ability to learn new software as needed   

  • A can-do attitude with an aptitude for excellence   

  • A genuine desire to support your team and go above and beyond to ensure their success  

Bonus but not required:   

  • Previous experience in the SaaS industry or Music Industry  

  • Familiarity with MultiTracks.com products     

  • Event Management and or Customer Relationship Management Software Training  

  • Additional Certifications such as Certified Meeting Professional (CMP), Certified Special Events Professional (CSEP), Project Management professional (PMP) or other similar certifications with an Events Management, Administrative, or Project Management Specialization
