Job Description

Job Summary
We are looking for a conscientious and task-oriented Bookkeeper/Secretary . The role will help us in recording and maintaining daily financial transactions, A/P, reconciliations, assisting in preparing financial statements and closing books, and A/R. The successful candidate will have unquestionable character who consistently demonstrates a friendly and helpful attitude. The candidate will be able to work independently while prioritizing responsibilities and multitasking. Experience in Quickbooks Cloud, Excel, Outlook and Word are required.

Qualifications:
  • Associate degree in accounting, finance or related discipline or experience equivalent with basic accounting knowledge of double entry bookkeeping and understanding of industry benchmarks and best practices (GAAP).
  • Experience working in a fast-paced environment.
  • Competency with Quickbooks Cloud, MS Office (Excel, Outlook and Word).
  • Demonstrates initiative and a commitment to excellence.
  • Dedication in the completion of tasks in a timely manner.
  • Excellent people skills with great eye contact.
  • Effective organization skills and attention to detail.

Responsibilities

  • Works closely with management team.
  • Maintains accurate records of financial transactions by posting and verifying entries.
  • Maintains bookkeeping policies and procedures.
  • Develops and implements systems for tracking financial transactions including establishing a chart of accounts.
  • Data processing and reconciliation for daily, monthly and quarterly reporting.
  • Reconciles entries to ensure subsidiary accounts are balanced.
  • Processes accounts payable including vendor invoices, check preparation and resolves discrepancies.
  • Investigates, reports and resolves any discrepancies in financial records or accounts.
  • Maintains a balanced general ledger.
  • Prepares trial balance and provides support for accountants.
  • Assists with tax filings and organizes supporting documents.
  • Organizes and maintains accurate files related to various business entities.
  • Ensures compliance with federal, state and local legal requirements.
  • Maintains calendar and ensures all deadline are met.
  • Writes and processes internal communications; takes minutes as needed.
  • Monitors and responds appropriately to general email correspondence.
  • Property lease management and rent reconciliation.
  • Well organized scanning and filing.
  • Screening telephone calls.
  • General secretarial and clerical tasks.
  • Maintains confidentiality of financial information and ensures data integrity.
